Your Venue Profile
Your venue profile on getNgigs is how thousands of independent artists discover, research, and decide whether to pitch your room. Every field you complete is one fewer email you have to answer — and one more signal that your venue is worth approaching.
A complete profile attracts better-qualified pitches, reduces back-and-forth clarification, and gets your open dates filled faster. Venues with missing genres, no description, or incomplete contact info are routinely skipped by touring artists who have a limited pitching window.
Incomplete profiles get skipped.
Artists evaluate dozens of venues before deciding where to pitch. Missing genres, no capacity, or a blank description signals that the venue is not actively booking — and artists move on.
Contact & Booking Fields
These fields are edited from your venue dashboard. Each one directly affects how artists find, evaluate, and contact you.
Contact & Booking
- Booking Email
- The email address artists should use to pitch you. This is the address Pro artists see when they unlock your contact information. Use a dedicated booking address if you have one — it keeps pitches out of your general inbox.
- Booking Contact
- The name of the person who handles booking at your venue. Artists addressing a pitch to a real person, not just a generic inbox, get better response rates.
- Booking Phone
- Optional. Shown to Pro artists only. Include this if you prefer a call or text over email for booking conversations.
- Booking Tips
- Freeform text that appears on your public profile. Use this to tell artists exactly how you want to be pitched: what to include, what format to use, what to avoid. A specific booking tips field is the single most effective way to reduce bad-fit pitches — artists read it before they send anything.
Booking contact fields are gated.
Free users can view your public profile, but your Booking Email, Booking Phone, and Booking Contact name are only visible to Pro subscribers and Admins. This means every artist who sees your contact info has made a financial commitment to the platform.
Public Listing
- Website
- Your venue's main URL. Artists visit this before pitching to understand your brand, upcoming calendar, and audience. A missing website is a credibility gap.
- Social Links (Instagram, Facebook)
- Artists research your room on social before deciding to pitch. An active Instagram with photos of your stage, crowd, and past shows builds more confidence than any text description could.
- Age Restriction
- All Ages, 18+, or 21+. Be accurate — artists need this for show promotion and ticket sales. Inaccurate age restrictions cause last-minute complications for everyone.
- Capacity
- Your total room capacity. Used in artist search filters and displayed on Gig Board posts. Artists use this to self-select — a 5-piece band won't pitch a 30-seat café. Accurate capacity leads to better-fit applications.
- Genres
- Select all genres you actively book. Genres are the primary filter artists use to find venues — if your genres are incomplete or missing, you are excluded from filtered searches. When in doubt, add more rather than fewer.
- Description
- Write this for the music listener, not the artist. What does a night at your venue feel like? What is the musical identity of the room? Who is your crowd? A strong description — specific, honest, and evocative — appears on your public profile page and builds confidence before the first pitch lands.
Upcoming Shows Calendar
Every venue profile includes an Upcoming Shows calendar section. You can use it to publish confirmed bookings, flag open dates, and syndicate open dates directly to the Gig Board — all from a single interface on your public profile page.
A. Adding a Confirmed (BOOKED) Show
Use this when you have confirmed an artist and want the show to appear on the public /shows calendar for fans.
Click "Add Show" on your profile
Open your venue profile at getngigs.com/venues/your-slug and click the "Add Show" button in the Upcoming Shows section.
Set Status to BOOKED
Choose BOOKED from the Status dropdown to indicate this date is confirmed.
Enter the date and artist name
Fill in the show date and the performing artist's name. To link to their getNgigs profile, type their name in the artist search field — if they have a public-ready profile, it auto-populates with a link.
Add genre tags, deal type, capacity, and notes
These help fans and artists understand the show. Genre tags make your entry discoverable on the public shows calendar.
Click Save
The entry is saved immediately to your calendar and appears on the public /shows page, discoverable by fans browsing by date, genre, and ZIP code.
B. Adding an Open Date
Use this when you have an available date and want to attract pitches from artists. You can post it to the Gig Board at the same time.
Click "Add Show" on your profile
Open your venue profile and click the Add Show button in the Upcoming Shows section.
Set Status to OPEN
Choose OPEN from the Status dropdown — this signals the date is available and you are actively looking for an artist.
Enter the date, genre preferences, deal type, and capacity
Fill in what you are looking for. The more detail you provide here, the better-qualified the artists who respond.
Check "Post this open date to the Gig Board"
A checkbox at the bottom of the form lets you syndicate this open date to the Gig Board. Checking it expands three additional fields: a description for artists, pay/guarantee, and a contact email.
Click Save
The open date is saved to your calendar AND simultaneously posted to the Gig Board where Pro artists can find and respond to it.
C. Syncing an Existing Open Date to the Gig Board
If you added an open date without checking the Gig Board option, you can still post it later.
Find the OPEN entry in your Upcoming Shows table
Scroll to the Upcoming Shows section on your venue profile. Locate the OPEN date you want to post.
Click the "Sync to Gig Board" button on that row
Each OPEN entry that has not yet been posted to the Gig Board shows a Sync to Gig Board button.
Done — the post is live
The entry is posted to the Gig Board immediately. The button on that row updates to confirm it is live.
Bulk Import (CSV / Excel)
If you have a full season of shows to add at once, the CSV Upload tab on your venue dashboard lets you import dozens of calendar entries in a single step — no need to add them one by one.
Step 1 — Download the template
From your venue dashboard, click the CSV Upload tab. You will see two download options:
Excel Template (.xlsx) — Recommended
Includes dropdown menus for Status, Capacity, Deal Type, Time, and all 6 Genre columns — no typing required for those fields.
CSV Template (plain text)
Works with any spreadsheet app. All the same columns, but without the built-in dropdowns.
Step 2 — Fill in your shows
Row 2 is a sample row — delete it before uploading. The two required columns are:
- Date *
- Use YYYY-MM-DD format (e.g. 2026-09-15). This is the only format the importer accepts.
- Title *
- The show name or artist name. Use "[OPEN GIG]" as the title for open dates you want to fill.
All other columns are optional:
- Time
- Performance start time, e.g. 8:00 PM.
- Status
- BOOKED (confirmed show) or OPEN (available date). Defaults to BOOKED if left blank.
- Capacity
- Expected audience size for this specific show.
- Deal Type
- Guarantee, Door Deal, Percentage, Flat Fee, etc.
- Genre 1 – Genre 6
- Up to 6 genre tags for this entry. Use the Excel template dropdowns to avoid typos.
- Notes
- Any internal notes or public-facing details about this show.
Step 3 — Upload and preview
Drag and drop your filled file onto the upload area (or click to browse). Both .xlsx and .csv files are accepted. The importer previews your rows before saving anything so you can catch errors first.
Step 4 — Import
Click the Import button to save all valid rows to your calendar. After importing, you will see a summary showing how many entries were created and how many were skipped.
Duplicates are automatically skipped.
If a row has the same date and title as an entry already in your calendar, it is skipped — no double-entries, no cleanup needed. You can safely re-upload an updated version of your spreadsheet and only new rows will be added.
The Gig Board
The Gig Board is the platform's active marketplace for open dates. Artists browsing it are not cold-pitching — they are specifically looking for work and responding to an invitation. Every response you receive is from an artist who chose your post out of all available options.
- Only Pro artists can respond
- Free users can view the Gig Board but cannot respond to posts. Every artist who applies to your listing is a paid Pro subscriber — this filters out casual browsers and ensures responses come from committed, working musicians.
- Posts expire after 14 days automatically
- You never need to clean up old posts. If the date passes or you fill the slot, the post closes on its own. You can also close it manually from your dashboard at any time.
- Booking an open date auto-closes the post
- When you mark a calendar entry as BOOKED, any linked Gig Board post is automatically closed. Artists stop receiving the post and you stop receiving new responses.
- Every post links back to your venue profile
- Artists research your venue before responding. A complete profile — description, photos, genres, capacity, booking tips — directly increases the quality of responses you receive.
The Gig Board is the fastest path from empty date to booked artist.

FAQ
Who can see my booking contact information?
Only Pro subscribers and Admins. Free users can view your venue profile and public listing, but booking contact fields — email, phone, and booking contact name — are locked behind the Pro paywall.
How do I update my profile?
Log in, go to your venue dashboard, and edit any field directly. Changes are saved and go live immediately — no review process required.
What happens when I mark an open date as Booked?
The calendar entry status updates to BOOKED, it appears on the public /shows calendar where fans can discover it, and any linked Gig Board post is automatically closed so artists stop responding to a filled slot.
Can I link a booked artist to my calendar entry?
Yes. When adding or editing a BOOKED entry, type the artist's name in the artist search field. If they have a public getNgigs profile, their name becomes a clickable link. Fans viewing the /shows calendar will see that link and can explore the artist's full profile.
What if my venue isn't claimed yet?
Contact us to claim your venue profile. Once claimed and approved, you will have full edit access to all fields, the shows calendar, and the ability to post to the Gig Board.
